You're interested in Urban Light Studios for your wedding and you've heard the raves, but you just can't visualize how it will all work. I understand - it's a unique space and every wedding here is different. However, there are some guidelines that help things run smoothly.
I also understand that you don't plan your wedding every day. This is a new thing, and it's a big deal! There are a lot of things and people to manage, from different vendors to your well-meaning mother-in-law.
I love hearing from couples post-wedding how easy and seamless their event was - and I hear it after nearly EVERY wedding. So, here's a quick look at what to expect after you book this unique space, from right after you sign your contract until you walk out of the venue at the end of your big night in your flip flops (tip #1: bring flats).
Once you've decided to book with us, I will invite you in to sign a contract and collect your deposit. I will also give you a whole bunch of really useful information, including some of my favorite vendors, all of whom have worked in the space and provide an excellent product and outstanding service. You can use 'em or not, but it's nice to have a starting point. I will also give you a floor plan so you can start drawing out where things will go. We can talk catering and I can give you guidelines on what one of our five caterers might best fit the type of event you're envisioning and the kind of food you want to serve.
Throughout the planning process, I always recommend coming in to see the space during our monthly Art Walks (they happen the second Friday of every month between 6 and 10pm). It's a great opportunity to see the space in action and how large groups of people move within the space.
About a month before your wedding, we schedule your 10-day meeting. At this meeting we finalize your floorplan, get all your vendor information and establish a timeline. The timeline of the evening is usually another mystery. "How can we possibly do everything in 8 hours?!" is a common question, and here's how! Please note that this timeline is assuming you're renting the space for the allotted 8 hours (from 5p-1a) and you're planning on having both your ceremony and reception here.
5-6:30p: Set up! Set-up crew, caterer, florist, dessert maker and couple arrive. Space get decorated, bar and food gets set up and prepared, couple gets ready, chairs get set up.
6:30p: Guests arrive
7-7:30p: Ceremony!
7:30-8p: Room flip/cocktail "hour" - guests can go downstairs or in the Tiki Bar and China Room while the caterer prepares the main space for your reception.
8p: Dinner
8:45p: Toasts
9p: Cake cutting
9:30p First Dance
9:45p-12a: Dancing, bouquet toss, garter toss
11:30p: Last Call
12a: Guests leave, clean up begins!
1a: Space is vacant
Of course every event is different and you always have the option to buy overtime if you'd like a little more wiggle room. I always spend a large part of my day on the phone or email, so always feel free to reach out and ask questions based on what you have in mind.
